Vrcyn Remote Work Policy

Our goal is to enable flexible work without sacrificing trust, productivity, security, or culture. This policy defines eligibility, expectations, tools, and safeguards for all remote‑first teams at Vrcyn.

1) Purpose & Scope

To provide clear, consistent guidance for remote work across the company. This applies to all teams — Operations, HR, Sales, Engineering, Design, Support, and Leadership.

Review CycleEvery 6 months or as laws/risks evolve.

2) Work Modes

  • Remote‑First: Default for eligible roles. Office visits for onboarding, team offsites, client meetings, or critical work.
  • Hybrid: Mix of remote and office days as agreed with manager.
  • On‑Site/Field: Roles requiring presence (client demos, facilities) follow separate rosters.

Eligibility

  • Role permits independent work with secure access to systems.
  • Employee has a distraction‑free workspace and reliable internet.
  • Meets performance expectations for two consecutive cycles.
  • Completes security training & signs the Remote Work & Data Protection Addendum.

3) Work Hours & Attendance

  • Core Hours (IST): 9:30 AM – 6:30 PM, Monday to Saturday.
  • Breaks: 60 minutes total, typically 1:30–2:00 PM lunch. Employees are allowed two short breaks of 15 minutes each during the workday. Break timings may be adjusted with prior approval from the reporting manager.
  • Attendance: Record daily via company system (web/app). Late/early rules per team SOP.
  • Overtime/Shift work: Pre‑approved only; recorded in the system for payroll accuracy.

Availability

  • Respond to internal messages within 15-30 minutes during core hours.
  • Set status when away & keep calendars updated.
  • Share weekly availability and holidays in the team board.

4) Communication Standards

  • Use approved tools for chat, tickets, meetings, and files (e.g., Slack/Microsoft Teams, Jira, Google Workspace).
  • Prefer async updates; reserve meetings for decisions. Send daily stand‑ups and weekly summaries.
  • All customer data must remain in approved systems — not personal drives or messaging apps.

Documentation

  • Maintain task boards and OKRs; link PRDs/specs to tasks.
  • Record meeting decisions in the project space within 24 hours.

5) Security & Privacy

  • Device Security: Company‑approved OS, full‑disk encryption, auto‑lock ≤ 5 minutes, antivirus enabled.
  • Access: VPN where required, MFA on all company accounts, unique strong passwords via password manager.
  • Data Handling: Classify data; restrict export; sanitize customer PII in demos; follow least‑privilege access.
  • Environment: Avoid public Wi‑Fi. If unavoidable, use VPN; never discuss confidential topics in public areas.

Monitoring & Compliance

Vrcyn may review system logs and productivity tooling for legitimate purposes (security, compliance, and operational visibility). Any monitoring will comply with applicable laws and be proportionate to business needs.

  • Install only approved software on company devices.
  • Report lost/stolen devices or suspected breaches within 1 hour to security@vrcyn.co.in.

6) Workspace & Internet

  • Quiet, private space with ergonomically safe desk & chair.
  • Primary internet ≥ 50 Mbps with backup (secondary broadband or 4G/5G hotspot).
  • Power backup recommended for roles with real‑time commitments (Support/Sales).

Health & Ergonomics

  • Follow 20‑20‑20 rule for eyes; stretch hourly.
  • Use external keyboard/mouse and monitor where possible.

7) Equipment & Reimbursements

  • Company may provide laptop and essential peripherals. Assets remain Vrcyn property.
  • Monthly reimbursement (as per grade) for internet/phone upon submission of bills.
  • Hardware purchases must have prior written approval.

Travel & Office Access

  • Pre‑approved travel for client/on‑site work is reimbursed per Travel Policy.
  • Remote employees may book hot desks when visiting office (subject to availability).

8) Leave & Time Off

  • Apply via Leave Management before taking time off; emergencies must be reported ASAP to the manager.
  • Local public holidays follow the official company calendar for the employee’s region.
  • Half‑day rules: Morning half‑day ends at 1:30 PM; Afternoon half‑day starts at 2:00 PM unless team SOP differs.

Attendance Exceptions

  • Network/power failures: Notify manager immediately and log exception in the system.
  • Medical or family emergencies: inform HR; documentation may be requested.

9) Performance & KPIs

  • Quarterly OKRs for each role; weekly progress updates in the project space.
  • Output‑based evaluation: shipped features, closed tickets, qualified leads, turnaround times, revenue targets, CSAT, etc.
  • Performance support plan if targets are repeatedly missed; outstanding performance earns flexible perks.

Information Flow

  • All documents live in shared drives with version history.
  • Client communications must be mirrored in CRM or helpdesk.

10) Meetings & Collaboration

  • Default to 25/50‑minute slots; circulate agenda in advance; end with decisions & owners.
  • Camera‑on encouraged for small groups; recordings stored in the team drive when appropriate.
  • Respect quiet hours outside core time unless on‑call or pre‑agreed.

Client & Vendor Interaction

  • Follow NDAs and data‑sharing agreements strictly.
  • Use company email & tools for all external communications.

11) Onboarding & Training

  • Remote onboarding includes device setup, security briefing, tool access, and 3‑5‑7 day plan.
  • Mandatory annual refreshers: security, privacy, code of conduct, and role‑specific certification.

Offboarding

  • Revoke access on the last working day; return assets within 3 business days.
  • Transfer of knowledge and documentation before separation.

12) Well‑being & Conduct

  • Remote environment must remain professional and harassment‑free.
  • Use inclusive language; respect time zones when collaborating internationally.
  • Company‑sponsored wellness sessions are available quarterly.

Conflict of Interest

  • Declare any secondary employment or freelance work in advance.
  • Company time and assets must not be used for outside work.

13) Compliance, Violations & Exceptions

  • Breaches of security or policy may lead to corrective action up to termination subject to employment terms.
  • Exceptions require written approval from Department Head and HR.
  • Policy will be updated as laws/regulations change.
